# How to Post Opening Balances When Moving to New Accounting Software Post opening balances from a verified closing trial balance at a defined migration date, with supporting customer, supplier, inventory and asset detail. The opening entry should reproduce the business’s existing financial position, not create new sales or expenses. Reconcile the imported totals before using the new system for live transactions. ## Set one cut-off date Choose the last date recorded in the old system and the first date to be recorded in the new one. A clean year-start migration is often easier to explain, but the actual cut-off must match the project requirements and available records. Freeze or control changes to the old ledger after the agreed extract. If corrections are subsequently made, record how they will reach the opening data. Two different versions of the closing trial balance can otherwise circulate without anyone knowing which was imported. Decide whether the new system will hold opening balances only or also historical transactions. Importing both for the same period without a designed approach duplicates assets, liabilities and income. ## Illustrative balanced opening entry A small Erode business begins its new system on 1 April using verified 31 March balances. The figures below are illustrative and omit tax-control balances for simplicity. | Account | Debit ₹ | Credit ₹ | |---|---:|---:| | Bank | 1,20,000 | — | | Customer receivables | 80,000 | — | | Inventory | 90,000 | — | | Equipment cost | 1,50,000 | — | | Accumulated depreciation | — | 40,000 | | Supplier payables | — | 60,000 | | Loan payable | — | 1,00,000 | | Proprietor capital | — | 2,40,000 | | Total | 4,40,000 | 4,40,000 | The opening entry balances at ₹4,40,000 on each side. Equipment is shown at gross cost with accumulated depreciation separately, preserving its history. No current-year revenue is created by entering the bank or customer balances. For a company or LLP, use the appropriate equity and partner accounts rather than the illustrative proprietor-capital account. ## Control accounts and detailed items must agree The ₹80,000 receivables total should match customer-wise and invoice-wise open items. Preserve original invoice dates, due dates, credits and earlier partial receipts so the new ageing report remains meaningful. If the detailed invoice import automatically posts to the receivables control account, do not separately import another ₹80,000 control balance. Understand the software’s import behaviour before loading both summary and detail. Apply the same principle to supplier bills and advances. A supplier’s net balance alone may hide unpaid invoices and unapplied advances that need separate allocation. ## Carry stock quantities and values together The ₹90,000 inventory total should reconcile to item, quantity, location and supported cost records. Validate units of measure, batch identifiers and stock held at third-party locations where relevant. A financial opening balance without quantities may make the general ledger look correct while leaving sales and stock-control workflows unusable. Conversely, importing quantities with automatic valuation can create an unexpected second financial posting. ICAI AS 2 provides inventory measurement principles where applicable. Migration is not an opportunity to substitute convenient selling prices or unsupported rounded stock values for the verified basis. ## Preserve the asset register For equipment, carry original cost, accumulated depreciation, acquisition date, available-for-use date, useful life and other relevant assumptions. Opening net value alone may be insufficient to calculate future depreciation or a later disposal. Reconcile the asset-register totals with the ₹1,50,000 cost and ₹40,000 accumulated depreciation in the example. Review assets that were disposed of before cut-off so they do not reappear as active items. AS 10’s asset and depreciation guidance remains relevant after migration. The new software does not reset an old machine’s useful life merely because a fresh asset code was created. ## Tax and bank controls need independent proof Carry tax balances from reconciled records and review how each new ledger maps to returns and payment processes. An opening input-tax balance is not proof that credit is legally available or correctly reflected in the relevant records. For bank accounts, reconcile outstanding cheques, deposits in transit and other reconciling items. The bank-statement balance can differ from the verified ledger balance, so importing the statement amount alone may omit legitimate outstanding transactions. Document how those reconciling items will clear in the new system without producing duplicate income or expense. ## Use migration clearing only temporarily Some import workflows use an opening-balance clearing account. Reconcile and clear it once all verified balances are loaded. A residual balance signals missing or inconsistent data that needs investigation. Do not credit miscellaneous income or alter capital without evidence simply to make the import balance. The old closing trial balance and detailed schedules should explain the difference. Retain the original extract, mapping file, import log and post-import reconciliation. These records make later questions answerable without rebuilding the migration from memory. ## Test the first live transactions Allocate one customer receipt, supplier payment, stock sale and depreciation run against the imported data before normal use expands. Confirm they clear or consume the intended opening items once. ### Preserve signs and account types Check how the import template interprets positive and negative amounts. A supplier debit balance, customer credit or bank overdraft may need special handling to preserve its actual meaning. Run a small controlled import first and compare the resulting ledger directions with the source. A file can have equal totals while individual signs are reversed. Also confirm that an account imported as income rather than liability will not distort future posting. Mapping is a substantive accounting check, not merely a naming exercise. The migration is complete when the new system reproduces the verified opening position and supports the next transactions accurately. A balanced trial balance is the starting check; reconciled detail makes the opening balances usable. ## Sources and references - [ICAI: AS 1 Disclosure of Accounting Policies](https://indasaccess.icai.org/Volume-III/AS/asb.html?a=104) - [ICAI: AS 2 Valuation of Inventories](https://indasaccess.icai.org/Volume-III/AS/asb.html?a=105) - [ICAI: AS 10 Property, Plant and Equipment](https://indasaccess.icai.org/Volume-III/AS/asb.html?a=111)
