# How to Update the Authorised Signatory in a GST Account ## Treat replacement as an authority change Replacing a GST authorised signatory changes who can act for the registrant in the relevant portal processes. It should be supported by a genuine appointment and, where appropriate, withdrawal of the outgoing person's authority. Changing an email address alone does not necessarily replace the person's role or remove an earlier appointment. Start by identifying why the change is needed: employee departure, partner retirement, director change, a new finance lead or an inaccessible contact channel. Then check whether the outgoing person is also listed as a promoter, partner or director. Those underlying stakeholder changes may need their own review beyond the signatory amendment. ## Prepare the successor before removing continuity Collect the new person's required identity and contact details, photograph and appointment evidence. Use the authorisation or resolution appropriate to the entity and acceptance where required. Confirm that the individual understands the role and can complete the signing and verification steps instead of adding a nominal person who will never monitor the account. Check the legal name and PAN against source records. Where a company or LLP uses DSC signing, arrange a valid DSC for the proper person and prepare the portal signing setup. Do not assume a new signatory can use the departing employee's certificate just because both work for the same business. Create a transition list of pending returns, applications, notices and payments. Note due dates and who owns each item. An authorised-signatory change does not automatically resolve an unanswered notice or transfer the preparer's working files. The new person should receive the underlying records and current status, not merely a password. ## Review the existing profile Log in to the official GST portal and inspect the authorised signatory details and primary status. GSTN's My Profile guide shows the primary authorised signatory with a red marker. Check the promoter or partner details as well so you understand which roles the outgoing and incoming people hold. Make a record of the current contacts before amendment. If the old mobile or email remains accessible through an authorised transition, plan the change while that access exists. If access has already been lost, use the official recovery or jurisdictional assistance process as applicable; do not create false details or use another taxpayer's account to bypass verification. Where another amendment or a rule 14A withdrawal application is pending, check the live portal's restrictions and messages. GSTN's non-core manual describes situations in which pending applications affect available amendment actions. Resolve the actual workflow issue rather than repeatedly opening new drafts that may not include the latest profile changes. ## Add and designate the appropriate person The usual GSTN workflow for signatory details is through Services, Registration and the non-core amendment option. Add or edit the appropriate authorised signatory record, attach the relevant appointment evidence and enter the requested reason and date. Follow the fields available for the registration's status and category. Where the only existing signatory is also a promoter or partner, GSTN guidance describes adding a new authorised signatory and making the new person primary. Check the sequence in the live form so there remains a valid person to authorise the change. Do not remove essential continuity before the replacement can complete the required verification and submission. Review primary status deliberately. Adding a second signatory does not necessarily move notices to that person. Confirm the checkbox or designation and examine the preview. Keep ownership and stakeholder roles accurate; a new finance manager should not be recorded as a partner merely to enable the signatory record. ## Complete submission and verification Preview the whole amendment, confirm contacts and submit using the permitted signing method through an appropriately authorised person. Complete required OTP or other validation. Keep the final application and acknowledgement, and inspect the result. GSTN states that non-core amendments are updated automatically after successful filing, but a saved draft is not a filed change. Illustratively, a Delhi trader replaces a departing accounts executive with the owner's appointed finance assistant on 20 September. The file records the new appointment, pending return work and the date primary contacts change. The owner then checks that the assistant's correct email appears in the GST profile instead of assuming that receiving one forwarded OTP proves the amendment completed. If confirmation messages do not arrive, check the profile, spam folders and the actual amendment status before trying another change. A typo in the mobile number can be more consequential than a misspelt internal job title. Resolve the issue using official support routes and retain the evidence of what was attempted. Create a simple open-item schedule signed off internally by the outgoing and incoming teams where practical. Include unresolved mismatches and drafts that were never submitted. Otherwise a new signatory may mistake an old saved application for a completed filing and leave the underlying task unfinished. ## Finish the access and records handover Confirm that the business can log in, receive communications and use the required signing method after replacement. Review passwords and relevant access permissions in a controlled way, and recover business records from the outgoing person. Keep DSC custody and private signing credentials aligned with the authorised individual. Retain copies of earlier appointments and filings for history, while making the current authority clear. Tell staff and advisers who now receives notices and who approves submissions. Check bank and other related workflows separately where the same departing person held additional roles; a GST profile amendment does not update every system. A successful signatory replacement leaves no uncertainty about authority, contacts or pending work. The new person can act through the proper route, the business retains account control and earlier transactions remain traceable after the handover. ## Sources and references - [GSTN: Applying for normal taxpayer registration](https://tutorial.gst.gov.in/userguide/registration/Apply_for_Registration_Normal_Taxpayer.htm) - [GSTN: Amendment of non-core registration fields](https://tutorial.gst.gov.in/userguide/registration/Non-Core_Fields.htm) - [GSTN: Viewing the taxpayer profile and registration certificate](https://tutorial.gst.gov.in/userguide/taxpayersdashboard/My_Account_View_User_Profile.htm)
