Correct a wrong-account posting by comparing what was recorded with what should have been recorded, then posting only the supported difference or a controlled reversal and replacement. Preserve the original transaction reference. A correction should fix the affected ledgers without duplicating a bank payment, supplier bill or customer receipt that was already recorded correctly.

Reconstruct the original entry

Obtain the voucher, invoice, payment evidence and ledger postings. Identify whether the error concerns account selection, amount, debit-credit direction, party identity or more than one component.

A trial balance can still agree when an expense was posted to the wrong category or an asset was expensed. ICAI’s rectification teaching material explains that balanced errors can require correction even though total debits equal total credits.

Do not start by forcing an account balance to the amount management expects. First establish the underlying transaction and its correct classification under the applicable accounting policy.

Illustrative expense reclassification

A Dehradun business paid ₹18,000 for supported office repairs. The payment was incorrectly debited to Advertising expense and correctly credited to Bank. Assume the amount and tax treatment were otherwise right.

Correction accountDebit ₹Credit ₹
Repairs expense18,000—
Advertising expense—18,000
Total18,00018,000

The correction moves the cost to Repairs. Bank does not appear because its original credit was correct. Crediting bank again would record a second payment that never happened.

The journal may leave total profit unchanged while changing expense-category reports. That still matters for budgets, departmental review and understanding what the business spent.

An asset incorrectly charged to expense

Suppose an illustrative ₹45,000 computer qualifying for asset recognition was posted to Office expense. A supported correction may debit Computer equipment ₹45,000 and credit Office expense ₹45,000, assuming the original payment and any tax components were correct.

Then assess depreciation from the appropriate available-for-use date. Moving the cost into an asset without recording any required depreciation can leave the correction incomplete.

ICAI AS 10 provides the relevant asset-recognition and depreciation guidance where it applies. Do not capitalise an ordinary consumable merely because shifting it to assets improves the period’s profit.

Wrong customer or supplier accounts

A ₹10,000 customer receipt may have correctly debited Bank but incorrectly credited Customer B instead of Customer A. The correction debits Customer B ₹10,000 and credits Customer A ₹10,000.

The bank receipt stays untouched. Allocate the correction to the relevant invoices and explain the original receipt reference so customer statements can be reconciled.

For supplier payments, use the same comparison method but follow the actual debit and credit direction. Do not copy the customer correction mechanically; a supplier payment normally debits a payable, so the wrong-party adjustment can run in the opposite direction.

When reversal and replacement are clearer

If several components are wrong, reversing the complete erroneous voucher and posting the correct transaction may be easier to review than a complicated net adjustment. Link both entries and explain why replacement was used.

Check the payment and invoice systems before reversing. Some applications attach bank matches, inventory movements and tax records to the original voucher, so a reversal may need coordinated handling beyond the general ledger.

Do not use both a full reversal and a partial reclassification for the same error unless the combined result has been explicitly checked. A correction can balance while leaving the original cost or liability duplicated.

Tax and supporting records may also need correction

Moving an amount between expense ledgers does not automatically change GST eligibility or tax reporting. If the original tax account, invoice details or return treatment was wrong, assess those components separately.

For example, reclassifying a private purchase from Office expense to Drawings may also require removal of an unsupported input-tax amount. A simple expense-to-expense journal would not resolve that issue.

Keep the correction working broad enough to identify all affected records, but do not alter unrelated components that were already correct.

Closed periods require deliberate treatment

An error found after financial statements or returns were finalised may need a different correction and disclosure approach from an open-month reclassification. ICAI AS 5 addresses prior-period items and changes in estimates within its framework.

Distinguish an error based on information previously available from a later change in estimate. Do not backdate a journal casually or label every later adjustment a prior-period error.

Document the period assessed, materiality considerations, approval and selected treatment. The audit trail should explain why the correction was posted where it was.

Verify the result from both directions

Read the original and corrective entries together. They should produce the same net effect as the correctly recorded transaction, while preserving the real payment, receipt or obligation once.

Review the affected category reports, party subledgers, asset register and tax working as relevant. A balanced journal is only the arithmetic check; the corrected business meaning is the real objective.

Check reports beyond the general ledger

A correction may need the same project, department or branch tags as the transaction should originally have carried. Moving an expense account alone can leave those management reports wrong.

For example, the ₹18,000 repair might belong to the warehouse cost centre while the mistaken advertising voucher carried the sales department. Confirm both the account and reporting allocation. If the system keeps tags outside the journal, correct them through its supported workflow and preserve the link to the financial correction. A correct trial balance does not prove every report built from it is correct.

A useful correction leaves a reviewer able to see the original mistake, the evidence for the right treatment and exactly how the final balances were reached.
