Money received before the business has earned the sale should normally be tracked as a customer advance or other appropriate obligation. Debit bank when the money arrives and credit the advance account. Recognise revenue when the goods or services satisfy the relevant recognition requirements, then connect the advance to the final bill.

Decide what the payment represents

An advance may secure a customised order, fund materials or reserve a service slot. The commercial label on a payment request is useful, but the contract determines what the business owes the customer afterward. A refundable security deposit has different characteristics from an advance intended to pay for an eventual supply.

Capture the customer, order, payment date, amount and refund or adjustment terms. If a customer pays for two orders together, allocate the receipt between them or maintain a documented allocation awaiting confirmation. An undifferentiated advance balance becomes difficult to explain when one order is cancelled.

ICAI AS 9 links revenue to the relevant goods or service performance. An advance receipt alone does not establish that the full contract value has been earned.

An illustrative goods order

A Coimbatore workshop accepts an order for fabricated shelving. The customer transfers ₹30,000 before manufacturing begins. For the accounting illustration below, no tax is separated from the receipt; the business must first confirm its actual GST position.

EventAccountDebit ₹Credit ₹
Advance receivedBank30,000—
Advance receivedCustomer advances—30,000

The business now has ₹30,000 more cash and an obligation to supply the shelving or deal with the money according to the contract. There is no sales credit in this entry. Spending the advance on steel does not change that conclusion; material purchases require their own records.

Use an order reference in the advance subledger. If five customers each pay ₹30,000, the general ledger may show ₹1,50,000, but the supporting schedule must identify the five separate obligations.

Accounting timing and GST timing can differ

The absence of accounting revenue does not automatically mean no GST obligation. Goods and services have different advance-related rules. Notification 66/2017 Central Tax provides a special procedure for registered persons not opting for composition levy in relation to outward supplies of goods, linking the relevant liability to invoice timing under its terms.

Do not extend that goods treatment automatically to services. For a taxable service advance, examine the time-of-supply provisions, receipt documentation, tax-inclusive terms and applicable rate. Composition status, exempt supplies and unusual transactions require their own assessment.

If tax is due on the advance, split the gross receipt between the underlying advance and the appropriate tax accounts using a controlled calculation. Record how that earlier tax will be adjusted when the final invoice is issued. The advance ledger and tax working should agree without crediting revenue prematurely.

What happens when the order is completed?

Suppose the illustrative workshop later raises a valid gross invoice of ₹94,400, comprising an assumed taxable amount of ₹80,000 and tax of ₹14,400. Record the invoice under the normal sales procedure. Then debit Customer advances ₹30,000 and credit Customer receivable ₹30,000 to allocate the earlier receipt.

The customer balance becomes ₹64,400. Its eventual payment debits Bank and credits Customer receivable for that amount. This sequence preserves the invoice’s full value while clearly showing the earlier funding.

The figures assume the advance did not already generate a separately recorded tax amount. Where it did, the invoice and adjustment entries must use the tax working to prevent double recognition of output tax. Avoid copying the simplified sequence without checking that difference.

Cancellations and refunds

If the shelving order is cancelled and the full advance must be returned, debit Customer advances and credit Bank ₹30,000. Link the refund to the original receipt and cancellation approval. A debit to sales returns would be misleading where no sale was previously recorded.

If the contract allows a cancellation charge, establish whether it has become enforceable and earned, and assess its tax treatment before transferring any amount to income. Keeping an old advance is not itself evidence of revenue.

Customer requests to transfer an advance to another order should be documented. When different legal customers are involved, obtain clear authority rather than treating their balances as interchangeable.

Control the advance schedule

Review each open amount against order status, expected completion date and customer correspondence. Investigate long-standing balances, duplicate receipts and orders marked delivered with advances still untouched. Reconcile the schedule total with the general ledger monthly.

Keep the receipt document and tax invoice distinct

An acknowledgement of money received should identify the advance and order without pretending the supply has already happened. Where GST requires a receipt voucher or other prescribed document, prepare that document under the applicable requirements. An ordinary bank narration alone rarely contains enough information to manage the order or the tax treatment.

When the final invoice is issued, show the full invoiced amount and the advance applied in a way the customer can reconcile. Suppressing the earlier payment from customer-facing records often leads to a second payment request, a disputed balance or an unnecessary refund.

For milestone contracts, review the agreed performance stages individually. A payment described as an advance may include an earned milestone and funding for future work. Split those components using the contract and completion evidence, rather than forcing the entire receipt into either revenue or advances.

A useful advance record answers three practical questions: who paid, what remains to be supplied and how the money will be applied or returned. Keeping those answers visible prevents an early bank receipt from inflating sales and makes the final invoice easier for both parties to settle.
